"Copilot" is one name on several buttons, and they are not all the same thing. Here is where each one is and what it does.
Copilot in Windows
The icon on the taskbar (or the Copilot key on newer laptops). This is the general assistant: ask it questions, draft text, get help with settings. Signed in with a personal Microsoft account, it is a consumer tool. Signed in with your work account on a licensed business, it becomes the work version with enterprise data protection.
Microsoft 365 Copilot (the business one)
Requires a Microsoft 365 business subscription plus the Copilot add-on licence. Once assigned, the Copilot icon appears inside the apps:
- Outlook: in the toolbar when reading or writing an email — summarise, draft, coach.
- Teams: in a meeting (top-right) and in chats; also the Copilot app in the left rail.
- Word: the Copilot button on the Home ribbon, and the icon that appears at the start of a new line.
- Excel: Home ribbon, working on tables.
- PowerPoint: Home ribbon — create a presentation from a document, or tidy the one you have.
- The web: microsoft365.com/chat, where it can search across your mail, files and meetings at once.
Copilot in the Edge browser
The icon in the browser's top-right. Useful for summarising web pages; with a work account it respects the same protections.
"I don't see it"
Either the licence has not been assigned, the app needs updating, or the account signed in is not the work account. Those three cover almost every case. For our customers, licensing and roll-out are handled centrally — the button appears on the day it is meant to, on the right machines, with the policies already set.
